An organisation can't manage AI risk if it doesn't know where AI is actually used. An official list of procured tools isn't enough, since models also appear inside existing platforms, add-ons, and external services.
Operational readiness requires an owner for each use case, data classification, a description of human oversight, an incident-reporting procedure, and a rule for withdrawing an unreliable result.
Documentation must not be built only for the regulator. It must help an employee understand when they may use a model, what data they must not input, and who confirms the final decision.
The best compliance emerges when rules follow the actual workflow, not when they exist in a document separate from the process.
